1. Who we are
Ninja Vote is operated by Advice Ninja from Australia. References to “we”, “us”, or “Ninja Vote” mean the Advice Ninja team that runs this service.
For privacy questions or requests, contact pr@adviceninja.com.au.
2. What we collect
- Account details - your email, display name, and the password you set (stored hashed). If you sign in with an email code, we don't store a password.
- Email verification - a temporary token tied to your email so we can confirm you own the address.
- Polls and content you create - the polls, options, descriptions, tags, categories, cover images, and any stories you publish.
- Voting activity - which option you chose on a poll. Each user can vote at most once per poll. Aggregate counts are public; individual choices are visible only to you and to the poll's creator.
- Visit counts - anonymous, deduplicated per-poll visit counters used to show creators how many people opened their poll. We use a per-browser identifier stored in local storage; no cross-site tracking.
- Session cookies - required to keep you signed in. We don't use advertising or analytics cookies.
- Operational logs - request metadata such as timestamps and error traces, retained briefly for debugging and abuse prevention.
We do not sell your personal data and we do not share it with advertisers.
3. How we use it
- To create and secure your account.
- To send you transactional emails: verification links, sign-in codes, password resets, and notifications related to polls or stories you participate in.
- To show your polls, options, and votes inside the product, and to compute public results when a poll has votes.
- To prevent abuse - e.g. duplicate voting, spam, or bots - and to investigate reported content.
- To run the optional advertising slots that businesses purchase on the home page (handled via Stripe).
4. Sharing and processors
We rely on a small number of trusted service providers to run Ninja Vote. They process data only on our behalf:
- Neon - managed PostgreSQL hosting for accounts, polls, votes, and stories.
- Amazon Web Services (S3) - storage for poll cover images, story images, and uploaded avatars.
- Resend - sending verification, sign-in, and notification emails.
- Stripe - processing payments for advertiser subscriptions. We never see or store full card numbers.
- Vercel - application hosting and edge networking.
We may also share information when required by law or to protect the rights, safety, or property of users and the public.
5. What other people can see
- Your display name appears next to polls you create and stories you publish.
- Polls set to Open access are visible to anyone on the discover feed once you publish them.
- Aggregate vote counts on a poll are public after the poll is closed or after the viewer has voted.
- Invite-only polls are restricted to the email addresses you list - voters must sign in to that exact email.
- Your email address is never publicly displayed on the site.
6. Cookies and similar tech
We use first-party cookies only for the basics: keeping you signed in and remembering CSRF protection. We don't set tracking, advertising, or analytics cookies. Local storage is used to store a random per-device key so visit counts on polls can be deduplicated without identifying you.
7. Your choices and rights
- Update or delete your account from the dashboard, or by emailing us. Deleting your account permanently removes your polls, options, votes, stories, and uploaded images.
- Export - request a copy of your account data by email.
- Email preferences - transactional emails (verification, password resets, sign-in codes) can't be turned off because they're required for security; you can of course delete the account.
- Depending on where you live, you may have additional rights under laws like the Australian Privacy Act, GDPR, or CCPA. We honour those rights - contact us to exercise them.
8. Data retention and security
Account, poll, and vote data are kept for as long as your account is active. When you delete your account, we remove this data on request, except for limited records we're legally required to retain (for example, billing records for advertisers).
Passwords are hashed with a strong algorithm and never stored or transmitted in plaintext. Email codes and reset tokens are short-lived. We use HTTPS in transit and encrypt object storage at rest.
9. Children
Ninja Vote is not directed to children under 13. Don't use the service if you are under the age that allows you to consent to online services in your country.
10. International transfers
Ninja Vote is operated from Australia. Our service providers may process data in the United States or elsewhere. By using the service you understand that your data may be transferred and stored outside your country.
11. Changes to this policy
We may update this policy from time to time. We'll change the “Last updated” date above; for significant changes we may notify you by email. Continued use of Ninja Vote after the update means you accept the new version.
